Job Description: Production and Operations Coordinator at Harly Jae

Position: Production and Operations Coordinator

Location: Vancouver, BC. With driving around the city. 

Commitment: Full-Time (35h per week, 9-4 M-F)

 

Role Overview:

As a Production and Operations Coordinator at Harly Jae, you will play a pivotal role in ensuring the smooth execution of the brand's production and operational processes. You will collaborate closely with the owner/designer and marketing/e-commerce coordinator, as well as suppliers, and partners to uphold the brand's commitment to sustainability, quality, and efficiency. Your attention to detail, organization skills, and willingness to improve all processes will contribute to the growth and success of the company.

 

Key Responsibilities:

  • Production Coordination: Oversee the end-to-end production process, from sourcing raw materials to final product delivery, ensuring adherence to quality standards and production timelines.
  • Supplier Management: Maintain strong relationships with suppliers, manufacturers, and vendors, negotiating terms, pricing, and lead times to optimize production efficiency.
  • Inventory Management: Monitor inventory levels and coordinate restocking to prevent stockouts while minimizing excess inventory.
  • Quality Control: Implement rigorous quality control procedures to ensure that all products meet Harly Jae's standards for craftsmanship, sustainability, and aesthetics.
  • Logistics and Shipping: Coordinate shipping and distribution processes to ensure accurate and timely delivery of products to customers and retail partners.
  • Process Improvement: Continuously identify opportunities to streamline operations, improve efficiency, and reduce environmental impact within the production and supply chain.
  • Data Analysis: Collect and analyze production data to identify trends, bottlenecks, and areas for improvement, and provide actionable insights to management.
  • Team Collaboration: Collaborate with our small (but mighty) team of two regarding design, marketing, and finance to ensure alignment on production goals, timelines, and strategies.
  • Documentation: Maintain accurate and organized records of production processes, design meetings and edits, supplier communications, and inventory management activities.

Qualifications and Skills:

  • Post secondary education.
  • Previous experience or strong interest in production coordination, operations, and wholesale. (Preferably within the fashion or apparel industry but not necessary).
  • Strong understanding of sustainable practices and commitment to ethical and eco-friendly production methods.
  • Excellent organizational skills and attention to detail.
  • Effective communication and negotiation skills for managing relationships with suppliers and partners.
  • Proficiency in using Excel and softwares for inventory management, data analysis, and project tracking.
  • Problem-solving mindset with the ability to anticipate and address challenges proactively.
  • Team player with the ability to work collaboratively in a fast-paced environment.
  • Passion for sustainability and a genuine interest in contributing to a positive social and environmental impact.

EXAMPLE OF A DAY AS OUR PRODUCTION & OPERATIONS COORDINATOR: 

  • Drop off customer alterations to our local tailor
  • Merchandise our showroom with our latest arrivals + tidy it up
  • Package a wholesale order and communicate tracking information & share stockist kit with the boutique 
  • Research new eco-friendly button suppliers and order some sample packs
  • Visit our East Van factory : take inventory of latest fabric shipment & tag rolls accordingly + pick up a production order that is ready
  • Unload production order at our studio, begin quality checking and organizing our inventory cabinets
